EZ Reports Terms of Service

Welcome to EZ Reports. These Terms of Service ("Terms") govern your access to and use of the EZ Reports software-as-a-service platform, website and related services (the "Services"). By using EZ Reports, you agree to these Terms. If you do not agree, you may not use the Services.

1. Definitions

  • "Customer", "You" or "Your" means the individual or organization using the Services.
  • "EZ Reports", "We", "Us" or "Our" means SVC Group LLC, doing business as EZ Reports, the provider of the Services.
  • "Services" means the EZ Reports platform, its features, applications and related support.
  • "Customer Data" means the files you upload, the text you type into the Services, and the reports and answers produced from them.
  • "Subscription" means a paid plan granting access to the Services under these Terms.
  • "Analysis" means one run of the Services over the files you upload, producing one report.

2. Eligibility

To use the Services, you must:

  • be at least 18 years old, or the age of majority where you live;
  • have the authority to bind your organization if you use the Services on its behalf;
  • provide accurate and up-to-date information when you register.

3. Account registration and security

  • You must register an account to use the Services. Sign-in is provided by our authentication provider, Clerk.
  • You are responsible for keeping your sign-in details safe and for all activity under your account.
  • Tell us immediately at support@ezreports.io if you believe someone has accessed your account without permission.

4. Plans, credits and payment

  • Free plan. A new account can run a limited number of analyses free of charge, once. The number is shown on our pricing page.
  • Paid plans. Paid plans are billed monthly in advance, at the price shown when you subscribe. Each plan includes a number of analyses per billing period. The allowance resets at the start of each billing period, and unused analyses do not carry over.
  • Credits. Each completed analysis uses one credit from your allowance. An analysis that fails is not charged.
  • Payment. Payments are processed by our payment provider, Stripe. You authorize us, through Stripe, to charge the fees for your plan. We do not receive or store your card number.
  • Refunds. Fees are non-refundable, except where the law requires otherwise.
  • Cancellation. You can cancel your Subscription at any time. It stays active until the end of the billing period you have paid for.
  • Price changes. We will tell you before a change to the price of your plan takes effect.

5. Use of the Services

  • Permitted use. You may use the Services for your internal business purposes.
  • How reports are produced. The Services use a third-party artificial intelligence provider to read the structure of your files and to write reports and answers about them. Parts of your Customer Data are sent to that provider for this purpose, as described in our Privacy Policy. The figures in a report are calculated from your own data.
  • Prohibited use. You may not:
    • resell, sublicense or distribute the Services without our written consent;
    • reverse-engineer, copy or attempt to derive the source code of the Services;
    • upload data you have no right to use, or use the Services for unlawful or harmful purposes.

6. Your data and privacy

  • Ownership. You keep ownership of your Customer Data.
  • License to process. You grant us a limited license to host, process and display your Customer Data only to provide the Services to you.
  • Retention. Uploaded files are kept, encrypted, for 30 days after upload so that you can ask follow-up questions about them, and are then deleted automatically. Reports and answers are kept until you delete them or your account.
  • Deletion. You can delete any analysis at any time, which deletes its report, its uploaded files and its questions. To delete your account, email privacy@ezreports.io.
  • Privacy. How we handle your data is described in the EZ Reports Privacy Policy at ezreports.io/privacy.

7. Security

We use reasonable administrative, technical and organizational measures to protect Customer Data, including encrypted connections, encryption of stored uploaded files, and access limited to your own account. No system is completely secure, and you acknowledge that risk.

8. Availability and support

  • We aim for high availability but do not guarantee uninterrupted service.
  • Scheduled maintenance or unexpected downtime may occur.
  • Support is provided by email at support@ezreports.io, in line with your plan.

9. Intellectual property

  • We keep all rights, title and interest in the Services, including the software, trademarks and content, other than your Customer Data.
  • These Terms do not give you ownership of our intellectual property.

10. Term, suspension and termination

  • These Terms apply for as long as you use the Services.
  • We may suspend or end your access if you breach these Terms, fail to pay fees, or misuse the Services.
  • You may stop using the Services and cancel your Subscription at any time.

11. Disclaimers and limitation of liability

  • The Services are provided "as is" and "as available", without warranties of any kind.
  • Reports and answers are produced with the help of artificial intelligence. They are based on the data you provide and may contain errors or omissions. Review them before you rely on them for business, financial, legal or tax decisions. They are not professional advice.
  • We are not liable for indirect, incidental or consequential damages.
  • Our total liability is limited to the amount you paid us in the 12 months before the claim.

12. Indemnification

You agree to indemnify and hold EZ Reports harmless against claims, damages or expenses arising from your misuse of the Services or your breach of these Terms.

13. Changes to the Services and these Terms

We may update the Services and these Terms from time to time. We will notify you of material changes by email or in the Services before they take effect. Continuing to use the Services after the change takes effect means you accept it.

14. Governing law and disputes

  • These Terms are governed by the laws of the Commonwealth of Virginia, USA.
  • Disputes will be resolved through binding arbitration or in the courts located in Leesburg, Virginia, USA.
