EZ Reports Privacy Policy

This policy explains what data EZ Reports collects, why, who else handles it, how long we keep it, and how you can have it deleted. It covers the website ezreports.io and the EZ Reports service.
EZ Reports is provided by SVC Group LLC, doing business as EZ Reports, 43763 Cog Hill, Ashburn, VA 20147. For anything in this policy, write to privacy@ezreports.io.
1. What we collect
Your account. When you sign up, your name, email address and sign-in details are held by our authentication provider, Clerk. Our own database stores only the account ID Clerk gives us, which we use to keep your data separate from everyone else's.
The files you upload. The spreadsheets you upload (Excel or CSV), their file names and sizes.
What you type. The objective you give an analysis, and the questions you ask about a report.
What we produce for you. Your reports, the figures and tables they are built from, and the answers to your questions.
Billing. If you subscribe, your plan, its billing dates, and the payment records Stripe sends us: amounts, invoice references and payment status. Stripe holds your card details; we never receive your card number. The email address you give at checkout goes to Stripe.
Usage. For each analysis and question: when it ran, how much of your allowance it used, and what the processing cost us.
Messages you send us. If you use a contact or sales form, your email address and your message.
Technical logs. Our servers record each request: the address requested, the time and the result. When a file cannot be read, the log may include its file name. Logs are kept only up to a fixed size and are overwritten as new entries arrive.
2. How we use it
- To run your analyses, write your reports and answer your questions.
- To keep your data visible to your account and nobody else's.
- To bill you and apply your plan's allowance.
- To keep the service secure and fix problems.
- To reply when you contact us.
We do not sell your data, and we do not use it for advertising.
3. Artificial intelligence
EZ Reports uses OpenAI's API to read and write about your data:
- To understand how each sheet is laid out, the first 400 rows of each sheet are sent to OpenAI.
- To plan the analysis and answer questions, the names of your columns and a short list of values from columns with few distinct values are sent, together with your objective or question.
- To write the report, the results of the calculations are sent, up to a few dozen rows each.
The figures in your report are calculated on our servers from your own data; the AI writes about them. Under OpenAI's published policy for its API, data sent this way is not used to train OpenAI's models, and OpenAI may keep it for up to 30 days to monitor for abuse before deleting it.
4. Who else handles your data
We use these service providers, each only for the purpose shown:

We may also disclose data where the law requires it.
5. Where your data is stored and how it is protected
- Our servers and backups are in New York, USA (DigitalOcean).
- Every connection to EZ Reports is encrypted.
- Uploaded files are stored encrypted (AES-256), and only your account can open them through the service.
- Every read of a stored file is recorded.
- The database is backed up daily, and each backup is checked by restoring it.
6. How long we keep it

7. Deleting your data, and your other rights
- Delete an analysis at any time. It deletes the report, its uploaded files and its questions immediately.
- Delete your account. Email privacy@ezreports.io from the address on your account. We will confirm the request with you by email, then delete your account and all your analyses within 30 days. Billing records we are required to keep are retained for that purpose only.
- Access, correction and a copy of your data. Email privacy@ezreports.io and we will respond within 30 days.
Depending on where you live, laws such as the GDPR or the CCPA may give you further rights. Write to us and we will help you exercise them.
8. Cookies
We use only the cookies needed to keep you signed in, which are set by Clerk. Your display preferences, such as light or dark theme, are stored in your own browser. We do not use analytics or advertising cookies. If that changes, we will update this policy and ask for your consent where the law requires it.
9. Children
EZ Reports is for people aged 18 and over. We do not knowingly collect data from children.
10. Changes to this policy
When we change this policy we will update the effective date above, and tell you by email or in the service before a significant change takes effect.
